Reducing Claims Denials with Nymbl Systems

How ēlizur swapped their set of five management platforms for Nymbl Systems and dramatically increased productivity while improving their bottom line.

At-A-Glance

  • Ēlizur has been a musculoskeletal solutions provider for 30 years throughout Pennsylvania, Ohio, and West Virginia.
  • With five existing software platforms to manage, Nymbl Systems was the answer to ēlizur’s workflow inefficiencies.
  • Nymbl Systems’ automated appointment confirmation feature was efficient enough to eliminate 40 hours of labor a week, allowing for resources to be reassigned within the company.
  • Ēlizur saw a five percent reduction of denials in claims processing during their first month using Nymbl Systems in conjunction with Waystar.

ēlizur’s Challenge

Since beginning business in 1993, ēlizur has forged a path to become an industry leader in musculoskeletal solutions by challenging the status quo. While many stock and bill practices simply manage inventory for clinics, ēlizur revolutionized the industry by providing clinics with their own clinical specialist to assist in continuity of care. Ēlizur even created its own business management software, MyOrthoMD, which has been acquired by DonJoy/Enovis and renamed to MotionMD

Previously, ēlizur used a combination of platforms to manage business: MotionMD on the front end, Brightree for billing, Microsoft 365, FileMaker®, and 50,000 Excel spreadsheets. Aaron Calla, Manager of Orthotics and Prosthetics, and Scott Huber, Director of Clinical Operations, realized that to scale ēlizur’s share in new markets, they would need to seek out a more efficient business management software.

“Those five platforms couldn’t communicate with one another,” Calla says, “So, everything was a manual process. And every time you have a manual process you have unnecessary labor, and you will have unnecessary risk that's involved, right? Because when you have to do a manual transfer, or every time we do something manually, you have that margin of error that's going to take place and you're never going to be perfect.”

The challenge they were trying to overcome wasn’t a simple one. The software system would need the ability to move through multiple workflows: patient intake, appointment reminders, patient records, billing, claims management, and product inventory.

The Solution

At an on-site ABC accreditation visit, a peer remarked to Calla that their existing management software was inefficient for ēlizur’s applications.

"... Just tell me what’s the best software you’ve ever seen," Calla said, "Let’s start there. And Nymbl is what she told me.”

While searching for new software to compare with Nymbl Systems, Calla had created a list of what he needed the software to do to keep up with ēlizur’s growth. At the top of that list was visibility. Neither Calla nor Huber were disappointed by Nymbl Systems in this regard.

“The clerical productivity report and different reports that Nymbl already has canned are phenomenal. Most importantly, the prescription summary page, particularly the V2 data that we’ve had access to, is phenomenal,” said Huber. “I love Nymbl.”

Once partnered, ēlizur was able to work with Nymbl Systems to refine features of the software and even provide input on new features.

One of the features that ēlizur had developed in MotionMD was the ability for providers to “batch sign” SWOs at the end of the day. This feature is in the works in Nymbl Systems, thanks to input from ēlizur.

“The batch sign is a huge thing,” says Huber. “Rather than signing multiple SWOs at the end of the day, providers have the ability to do it once and acknowledge they’re checking it. Now, the feature is 99% of the way there.”

“We could tell the commitment was there. This partnership, as Aaron said, is phenomenal… they wanted to earn our business. We could tell that we wanted to vice versa work with them.” New Paragraph

The Results

After migrating their records from their five platforms to Nymbl Systems, ēlizur saw results quickly in claims management and efficiency.

An immediate outcome was a five percent reduction of denials in claims processing. Additionally, Nymbl Systems’ automated appointment confirmation feature was efficient enough to eliminate 40 hours of labor a week, allowing for resources to be reassigned within the company.

“Hindsight is always 20/20,” said Huber. “Looking back, we should have made the transition a longtime ago.” New Paragraph

Business Intelligence (BI) platform offerings are no longer a niche set of database management tools requiring deep, technical skills. The field has expanded into a competitive marketplace of solutions – businesses now self-select for their specific needs. The result of this healthy competition? Access to data and BI tools is no longer a luxury – it’s an expectation. This has elevated data’s role in strategic planning. For healthcare providers, data allows them insight into optimizing care delivery, enhancing patient experiences, and projecting trends to ensure financial health. Visualizing vast amounts of data is now incredibly accessible, making critical information readily available for informed decision-making. Instead of holding access to data hostage, Nymbl Systems puts your data to work for you. At Nymbl, our BI offerings to customers fall into two categories: “canned” dashboards and customizable, ad-hoc analysis dashboards.

Nymbl Systems has partnered with the Limb Loss and Preservation Registry (LLPR) to make data collection and submission easier for O&P practices that participate in the effort. An automation within Nymbl’s software allows the transfer of LLPR-collected fields from practices to the database without any additional effort on a practitioner’s part. How it Works When an O&P practice using Nymbl Systems decides to participate with the LLPR, their first step is to contact the Nymbl Customer Support team. Then, Nymbl ‘flips a switch’ on their end and begins transmitting data from that practice to the LLPR data base. Users of Nymbl will be able to easily identify any fields transmitted to the LLPR from the business management platform; these fields are marked by a tooltip icon. “The information is automatically sent as employees and practitioners go about their daily routines,” Josh Lau, CEO of Nymbl Systems, said. “It’s designed to be seamless and eliminate any barriers for practices who want to contribute to this incredibly important effort.”

It’s hard to help others outside a niche industry “get” what you do. Even with an invested interest on both ends, an understanding can be challenging to reach. This is something that feels especially relevant given the latest updates in Centers for Medicare & Medicaid Services’ (CMS) coverage of Seat Elevation systems. See how Nymbl gets you.

Using an Electronic Medical Record (EMR) software system is a non-negotiable in the tool belt of healthcare providers today. But, finding the right software that has adapted to the Home Medical Equipment (HME) market is a challenge – one that is only surpassed by the challenge of actually implementing a new-to-you EMR system.

In the realm of DME (Durable Medical Equipment) billing and O&P (Orthotics and Prosthetics) billing, the role of clearing houses is a pivotal link between providers and insurance payers. Clearing houses, such as Waystar, are key players in smoothing the path of revenue cycle management. Let’s dive into the role of clearing houses, the services they offer, and how they integrate with EMRs.

Many practitioners like to joke that insurance payers are more often in the business of denying claims than paying them… and from my point of view, they have a point. To maintain a stable stream of payments, you need a reliable system to help double, and triple check your work.

The significance of this act for orthotists, prosthetists, and their patients cannot be overstated – it represents a monumental shift towards patient-centered care and a statutory and regulatory separation of O&P from the umbrella of DME, allowing for more appropriate regulation in the future.

In the rapidly evolving landscape of home medical equipment (HME) providers, business leaders are increasingly confronted with a trio of challenges: navigating complex payer rules for claims, managing high turnover rates among billing specialists, and grappling with complicated software solutions that impede rather than enhance operational efficiency.
